From 100th birthday to last minute impulse – when should you actually book?
There is a specific kind of booking enquiry that always stops us in our tracks. It’s the booking enquiry that forces us to check the calendar not for this year, but the year after that.
Just this week, an enquiry appeared on the North Cottage Cromer whatsapp feed for May 2027.
At first glance, booking a celebration eighteen months in advance might seem extreme, especially in an era where we can call a taxi or book a flight with a couple of taps. But then I read the reason for the booking enquiry: a family gathering to celebrate a 100th birthday.
This makes perfect sense. When you are coordinating four generations, school holidays, time off work, and the logistics of getting the whole family to North Norfolk you don’t want to leave things to chance. I must admit I felt a mix of nerves (pricing years ahead is an art form in itself with the tax changes affecting all tourism businesses) but immense appreciation for the enquirer’s forward planning!

We’ve previously received similar far in advance requests for Diamond Wedding Anniversaries, 80th birthdays and big reunions. But, industry data shows this is the exception, not the rule. Most travellers are booking later and later. Today many of us prioritise spontaneity over certainty.
So, where is the sweet spot? How far in advance should you book your holiday cottage?
The Host’s Dilemma: Why Far Ahead Makes Us Nervous
While we are always flattered when guests want to secure North Cottage Cromer specifically for their milestone celebrations, receiving an enquiry for more than a year ahead forces us to gaze into a very cloudy crystal ball. That’s why airlines don’t release seats for sale more than 12 months upfront.
As hosts, we admire planning and organisation, it plays to our own values! But we also feel the weight of the responsibility. Here are some of the reasons far-flung dates make us hesitate:
- The Pricing Problem: Setting a price for a week in May, 18 months ahead is genuinely difficult. We have to estimate energy costs (there’s a challenge for everyone!) our cleaning costs, repairs, inflation, and predict how fresh tourism taxes may impact us, all without even knowing what the economy will look like. If we price the booking too high, it makes us look greedy; if we simply price based on today’s rates, it’s unlikely to be realistic.
- Life Happens: A lot can change in two years. We might be planning significant renovations, a fresh wave of tourist taxes (bed tax, VAT, business rates) could impact us, or we might need to close the cottage for unforeseen maintenance. For us accepting a booking is a promise, and we hate the idea of breaking a promise (and we’ve never cancelled a single booking, ever).
- The “Blocked” Calendar: When we block out a week 18 months in advance, it reduces our flexibility. It locks us into a schedule before we’ve even had a chance to plan our own year and the holidays and commitments we have to our friends and family.
We Usually Try and Say ‘Yes!’
We understand that for a 100th birthday or a Diamond Wedding anniversary, the accommodation you choose is much more than just a place to sleep – it’s the setting for a once-in-a-lifetime memory. We know that the peace of mind of having the right venue secured is worth more to you than the flexibility is to us. We take a deep breath, do our best deciding the rate, and get the date in the diary.

The Sweet Spot: So When Should You Book?
While data shows people are booking later generally, that trend usually applies to couples or small families. When you are looking for a large property like North Cottage Cromer – one that sleeps the whole extended family or a big circle of friends – the rules of the game are different.
Large holiday homes are a finite resource. There are hundreds of two-bedroom cottages in North Norfolk, but only a handful of places that can comfortably host a large group under one roof. Here is our honest advice based on who you are bringing along:
1. The Multi-Generational Family (The “Herding Cats” Scenario)
- Who: Grandparents, parents, teens, and toddlers.
- The Challenge: You aren’t just looking for a date; you are looking for a miracle. You need a week that aligns with three different school holiday calendars, work leave for five adults, and a weekend that doesn’t clash with the cousins’ swimming gala.
- When to Book: 12 to 18 months ahead.
- Why: If you need a specific week in August or a Bank Holiday for a milestone event (like that 100th Birthday!), waiting is a gamble you shouldn’t take. The “perfect” weeks where everyone is free are the first to go.
2. The Group of Friends (Late 20s / Early 30s)
- Who: University reunions, 30th birthday bashes, or just a group of busy professionals needing an escape from the city.
- The Challenge: The “WhatsApp Group Limbo.” We know how this goes: someone suggests a trip, everyone says “Yes!”, but nailing down a date takes three months of back-and-forth. By the time everyone finally agrees on a weekend, the cottage is booked.
- When to Book: 9 to 12 months ahead.
- Why: At this life stage, weekends are precious currency. Between weddings, hen dos, and work trips, your group might only have one viable weekend all year where everyone is free. Once you find that golden date, grab it in immediately!
The Golden Rule for Large Houses: If there are more than six of you, spontaneity is expensive. If you want the pick of the dates, the best price, and the peace of mind that the “Big Weekend” is actually happening: Book it now.

The Deposit Dilemma: Flexibility v Fairness
We know that hitting the “Pay Deposit” button for a trip in 2026 or 2027 feels like a big leap of faith and commitment. In the age of big hotel chains offering “Free Cancellation until 24 hours before,” guests often wonder: Why can’t holiday cottage hosts do the same?
It comes down to the difference between a Hotel and a Holiday Home.
When a hotel has a cancellation, they have 200 other rooms to help them recover. When you book North Cottage Cromer, you are reserving an entire home. When we say “Yes” to your week, we take the house off the market. We turn down every other big birthday, anniversary or reunion enquiry because we are holding your dates exclusively for you. If you then want to cancel, we have a problem. There are no spontaneous bookings for a 100th birthday celebration, ever.
Finding the Middle Ground We think there’s a compromise between the “Zero Flexibility” of strict booking policies and the chaos induced by “Cancel Anytime” policies.
- The Commitment: We ask you for a 25% deposit to secure your dates.
- The Safety Net: We know plans change. If you need to cancel more than 8 weeks before check-in, you don’t lose your money. We allow you to transfer your deposit to another booking within the next 12 months.
The Unspoken Worry: “But what if we can’t make it?”
There’s often an elephant in the room when planning an 80th, 90th birthday, a 100th birthday, or a Diamond Anniversary years in advance.
We know the feeling well. Andrea’s mother lived to 96, but she didn’t like us booking family gatherings for her 90+ birthdays. Call it superstition if you like. My mother died just a week after celebrating her 80th birthday. So we understand, but our small business can’t be your travel insurer.
Don’t rely solely on our booking promise for big life events
Our deposit transfer policy is great for changes of heart or schedule clashes. But for serious unforeseen events a “credit for a future stay” isn’t what you need. You need your money back.
A couple of years ago a guest contacted us to say her 90 year old husband, who stayed with us the previous summer, had sadly died. He’d reached a fantastic age and had lived a full and wonderful life. They had booked for the whole family to return next summer. She told me her travel insurer wanted to know how much she owed us. But then she surprised me – “but we still want to come!” Considering their very advanced years she had wisely taken out travel insurance, but she didn’t need it on this occasion.
This is why we urge all our guests—even for domestic UK holidays—to take out Travel Insurance the moment they book. Many people assume travel insurance is just for lost luggage or flight delays abroad. But a good policy for a UK staycation covers you for:
- Cancellation due to illness: If a close relative falls ill and can’t travel.
- Bereavement: If the worst happens, you get a cash refund from the insurer, not a voucher from us.
- Insurance allows you to book that big celebration with optimism.
